Leaving Engage Wisdom: what you can take with you

This page is about what a Client receives when its collection's hosting with us ends, because its plan is cancelled or the collection is closed. Closing your own account is a different step: it ends only your own sign-in and does not start this export. To close your account, sign in, open your account page, choose Edit and then Close my account. A plan is cancelled on the Billing tab of that page, with Cancel my plan (on a Free plan, Close my collection).

Who this page is for. This page is for every Engage Wisdom account, on any plan, whether the collection belongs to a person or to an organization. If you are a customer in the European Union using your switching or retrieval rights under the EU Data Act, Switching information: EU accounts describes what that path includes.

When your collection's hosting with us ends, we want you to know exactly what you can take with you. Your recordings, and the work you and the people you invited have put into them, are yours, and they come back to you free. This page explains what that includes, in what form, and what happens to everything else. Section 13 of our Terms of Service and Section 10 of our Data Processing Addendum are the authority, and this page explains them. If your collection is staying with us and you would like a copy of your content, Section 13 of the Terms also describes the copy you can ask for while your subscription is active.

If you close only your own account. This export belongs to the Client that holds the collection: the person or organization whose agreement with us it is. If you hold a collection, the Close my account page explains what has to happen to the collection first. When you close only your own account, we delete your account information within 180 days, as Section 7 of our Privacy Policy describes, and its Section 9 says how to ask for a copy of your own personal data where the law gives you that right. What you contributed to a collection someone else holds belongs to that collection, and its owner decides what happens to it.

What you can take with you

During the 30 days after your collection closes, you can retrieve everything below at no charge, in structured, machine-readable form:

What you receive Format How it is organized
Your original recordings, images and other files, as you uploaded them, and the recordings we imported into your collection for you The files as we store them, in the format each was uploaded or imported in (for example WAV, MP3 or MP4) One file for each recording, image or file, each listed in the list of contents
The edits you and the people you invited saved, where they passed our alignment checks CSV and Markdown One CSV row for each value edited, and one Markdown file for each talk
The material you entered: titles, descriptions, dates, speakers, locations, the keywords you typed, and notes CSV and Markdown, in the same files as your saved edits One CSV row for each value entered, and one Markdown file for each talk
Certification records CSV, with the certification statements in Markdown One row for each change to a talk's certification, and one row for each talk's current state
Your members and roles list CSV One row for each membership, with its role and its state, including pending and blocked memberships
The visibility of each talk CSV One row for each talk, with its visibility settings
Your podcast feed's details CSV One row for each show, with its title, description, category and the other details its feed carries, and one row for each episode, with its dates
Your other collection settings, such as access records, sharing arrangements and project manifests JSON and CSV, with a readable summary of all your settings in Markdown One file for each kind of setting
Publishing Products already made for you (your publishing downloads) The files as they were created; an audio publishing download is MP3 or M4A, whichever was chosen when it was made One file for each publishing download
The list of contents CSV One row for each file in your export, linking it to its talk

We prepare your export as a download and send you the link. A large collection may come as several files.

What is not included, and why

AI-generated materials are not part of this export. The transcripts, captions, translations, summaries, chapter markers and keywords that the Service generates from your recordings are Generated Materials, as Section 7 of our Terms of Service describes, and Section 13 leaves them out of this export. They are a living function of the Service, refreshed whenever our processing improves. The edits you and the people you invited saved to them are yours, and they come back to you, as the table above shows. Where data-protection law gives you, or a person in your recordings, a right to a copy of personal data, that right reaches personal data inside AI-generated materials too, and that personal data can be requested at no charge, as Section 7 of our Data Processing Addendum and Section 9 of our Privacy Policy describe. We never provide raw recognition output, the working files our speech recognition makes on the way to a transcript.

The enhanced audio the site plays is not included either. What the platform plays and displays are Transient Renditions, made from your original recordings (Section 7 of the Terms). Your original recordings come back to you, and so do any publishing downloads already made, which are finished, portable files.

Customers in the European Union using their Data Act rights also receive the current AI-generated outputs, as Switching information: EU accounts describes.

The 30 days, and what happens after

  • You have 30 days after your collection closes. That is the export window, unless the law requires a different period. If you cancel a paid plan instead of closing your collection, your paid access continues to the end of the period you paid for, and the collection then closes and its 30 days begin.
  • Your talks stop being public on the day the collection closes. Each of your talks is set to Unpublished, its podcast episodes are withdrawn from the feed, and recordings you own leave any other collection they were shared into. For a cancelled plan, that day is the end of the period you paid for.
  • A request late in the 30 days still gets its full 14 days. If you ask before the 30 days end, we keep your content until its download link has been live for at least 14 days, even when that runs past the 30 days.
  • We delete nothing from your collection before those 30 days end, so everything in the table above is there when you ask.
  • After the 30 days, we delete your collection's content. If you asked for your export before the 30 days ended, we delete it once your download link has been live for at least 14 days. That takes in the recordings, files and records listed above, the AI-generated materials, and our own working copies.
  • A few copies outlast the 30 days, for a limited purpose. Backup copies clear on their normal rotation, within 180 days, and are not used in the meantime. We keep only copies the law requires us to keep, or that we need to establish or defend a legal claim, such as certification records and your instructions; we use those only for that purpose and delete them when it ends. Where the GDPR or the UK GDPR applies to your collection, that exception is narrower, as Section 10 of our Data Processing Addendum describes.

How to ask

To get your copy, write to help@engagewisdom.com from the email address of your account, and tell us which collection you mean. If you have already closed your own account, write from the email address it used. For an organization, the request comes from someone who manages the collection for it, or from the contact named on its Order Form. Asking costs nothing.

For a legal or privacy matter, including a request for personal data inside AI-generated materials, write to office@engagewisdom.com.

Your podcast feed

If your collection has a podcast, its episodes come off its feed when the collection closes, because we don't keep a feed running without its owner.

If you are moving your show to a new host, write to help@engagewisdom.com with its new feed address, and we redirect your Engage Wisdom feed address there, so each podcast directory that follows your feed can pick up the new address on its own. We support that redirect for at least 90 days, or until your 30 days end if that is sooner. After that, we continue to serve it on a best-effort basis for as long as is practical.

Episodes that listeners have already downloaded, and directory listings, may stay where they are after the feed changes, because those copies are outside Engage Wisdom. Your show's details and each episode's record come back in your export, as the table above shows.

Publishing Credits and downloads during the 30 days

  • Your Publishing Credits stay usable during the 30 days, so you can publish talks to make their publishing audio downloads and publishing video downloads. As always, a talk's permissions must be marked Cleared before it can be published with credits.
  • Publishing downloads are yours to keep, like every Publishing Product, after the 30 days as well. Ones you make after your export was prepared can be added to a fresh export, if you ask before the 30 days end.
  • Credits that came with your plan, or as a promotion, lapse when the 30 days end, and they have no cash value. Credits you bought as an add-on or boost pack do not expire, and we refund the remaining balance, at the price you paid, on request.

Known limitations

  • The saved edits are the ones the Service kept. An edit that did not pass our alignment checks may not have been kept, and meaningful words deleted from a transcript usually return at the next automatic transcription (Section 7 of the Terms), so neither is in the export.
  • Publishing downloads are not made for the export. The export carries the ones already made; making more takes Publishing Credits.
  • Backups are not a source for the export. They clear on their normal rotation, as described above.
  • Physical original media and digitization deliverables are separate. Reels, cassettes, discs and drives are governed by our Digitization Addendum, and so are the master files and drives delivered at the end of a digitization project; re-delivering those after the Addendum's delivery window is new paid work. The recordings we imported into your collection come back like any upload.
  • Copies outside Engage Wisdom may stay where they went. Podcast episodes already delivered, and anything distributed or indexed elsewhere, may persist in other services' copies after it is removed here.
